Coffee shop POS hardware: bring your own

GetCafePOS runs in the browser, so the only thing you must have is a tablet or computer. Everything else on this page is optional and generic — buy it anywhere, or keep what you have. We don’t sell hardware, so nothing here is a sales pitch.

The kit, piece by piece

Register screen

Required

Any iPad, Android tablet (10" or larger is easiest), Windows touchscreen or laptop with a current browser.

Commonly used: Apple iPad, Samsung Galaxy Tab, Lenovo Tab, any Windows touchscreen

Use a stand that swivels so customers can see the total and tip screen.

Bar ticket / receipt printer

Recommended

80 mm thermal receipt printer with network (Ethernet/Wi-Fi) or USB connection. One at the counter, optionally one at the bar.

Commonly used: Epson TM series, Star Micronics TSP series, Xprinter, Rongta

A network printer can sit at the bar while the register stays at the counter.

Cash drawer

If you take cash

Standard printer-driven (RJ11/RJ12) cash drawer that opens when a cash sale prints.

Commonly used: APG, Star Micronics, generic RJ11 drawers

Count the float into the register at opening so closing differences make sense.

Card terminal

Through your processor

The countertop or mobile terminal supplied by your payment processor. GetCafePOS records the payment; the processor handles the card.

Commonly used: Supplied by your processor (Visa/Mastercard acquirers, Apple Pay-capable terminals)

Ask your processor for a tap-to-pay terminal — it is the fastest at the counter.

Customer display / tip screen

Optional

A second small tablet or monitor facing the customer, showing items, total and tip options.

Commonly used: Any small tablet

Mount it at eye level next to the card terminal.

Bar & kitchen display

Double Shot+

A tablet or wall monitor with a browser showing open drink and food orders with timers.

Commonly used: Any tablet, or a monitor with a small PC/stick

Put it where the baristas look while steaming milk, not above the grinder.

Cup label printer

Optional

Small thermal label printer for name-and-modifier stickers on cups, popular in busy order-ahead cafes.

Commonly used: Zebra, Brother QL series, Rongta label printers

Check label size support on your demo before buying.

Barcode scanner & scale

Retail beans & merch

USB or Bluetooth scanner for bagged beans and merchandise; a scale if you sell beans by weight.

Commonly used: Honeywell, Zebra, Symcode scanners; label-printing scales

Print barcode labels for your own bagged beans from the product list.

Backup internet

Strongly recommended

A 4G/5G router or a phone hotspot so the register keeps working if the shop’s internet drops; a small UPS in power-cut areas.

Commonly used: Any 4G/5G router; a UPS for router and printer

In Pakistan, keep router, printer and register on a UPS for load-shedding.

Brand names are given as examples of compatible categories; they are trademarks of their owners and no partnership is implied. Confirm a specific model on a demo or during the free trial.

Three typical setups

Kiosk or cart

One tablet, processor’s mobile card reader, phone hotspot. Tickets on screen.

Neighbourhood cafe

Tablet register, network printer at the bar, cash drawer, customer tip screen, 4G backup.

Busy multi-bar shop

Two registers, bar screen and kitchen screen, cup label printer for order-ahead, UPS.

Hardware questions

Answered by the GetCafePOS team. Can’t find yours? Ask us.

What hardware does a coffee shop POS need?

At minimum a tablet or computer for the register. Most cafes add a thermal receipt printer for bar tickets, a cash drawer if they take cash, and the card terminal from their payment processor. Bar screens, customer displays and label printers are optional.

Do you sell or lease hardware?

No. Buy from any retailer or reuse what you have. That keeps you out of hardware leases and lets you replace a broken tablet the same day.

Will my existing printer work?

Most 80 mm thermal receipt printers that connect by network or USB work. Bring the model name to a demo and we will check it, or test it during your free trial.

Can I use my phone as a register?

Yes, for a pop-up or line-busting during a rush. For the main counter, a tablet is more comfortable.

Which card terminal should I buy?

Use the terminal your payment processor supplies or approves. GetCafePOS works alongside it and records the payment against the sale; it does not process cards.

What happens if the internet drops?

The register needs a connection to save sales, so keep a 4G router or phone hotspot ready. Switching takes under a minute. We do not claim an offline mode.

Do I need a separate computer for the back office?

No. The back office opens in the same browser on any device, including your phone.

What about power cuts?

In areas with load-shedding, put the router, printer and register charger on a small UPS. Tablets ride through on battery.
